Finding and viewing receipts
The Receipts list shows the newest receipts first, a page at a time, with a search over everything printed on them; opening one shows everything that was printed, whether it has synced, and its print history.
The list
The list shows receipts newest first, 25 to a page. Receipts issued on this device that have not yet synced are shown above the first page, because you may need to reprint one before the connection is back.
| Column | What it shows |
|---|---|
| Receipt | The number (000042) or, before it has one, the offline reference (KQXM-TVZB). A Pending Sync badge marks a receipt still on this device; an Offline badge marks a synced receipt that was issued offline. |
| Offline Ref | The offline reference (KQXM-TVZB) of a receipt issued offline, so a synced receipt can be found by the reference on its paper after it has been given a number. A dash for a receipt issued online. |
| Customer | The name printed on the receipt; a dash when none was entered. |
| Issuer | The name of the person who issued the receipt, read from their user record ("Deleted user" once the account has been erased). A receipt waiting to sync names the person signed in on this device. |
| Items | How many lines. |
| Prints | How many times the receipt has been printed, counting the original and every duplicate — the same count as the Receipts Register report. A receipt waiting to sync counts the copies printed on this device. |
| Total | The total in the receipt's own currency. |
| Issued | Date and time in your time zone. |
On a phone each receipt is a card with the same facts: the number or offline reference, the total, the item and print counts (led by the customer's name when one was entered), the issue time with the issuer's name, and an Offline Ref line once an offline receipt has its number. Tap a row or card to open it. Pull down to refresh.
Lists show 25 rows a page. Under the list, "Page 1 of 4 · 92 receipts" with Previous and Next turns the pages; a list that fits on one page shows only the count. Typing in the search box starts again from the first page.
Searching
Type in Search by number, customer, item or location. The search is by keyword: every word you type must appear somewhere on the receipt, and a word matches any part of a field, in any case. The fields searched are the number, the offline reference, the customer name as printed, the location name, the footer note, every line's description and every custom field's value. So 000042 finds one receipt, anita finds every receipt issued to an Anita, and anita diesel finds the ones that also have a line mentioning diesel. Up to five words count. The results are still newest first and still paged.
Receipts waiting to sync on this device are searched the same way, over the same fields. Spaces split words, so a quoted phrase is not supported; search for its words instead.
Offline, the list shows the receipts issued on this device with the message "Offline — showing the receipts issued on this device." The search box still filters them; the paged list from the server needs a connection.
The receipt screen
Header
The number in large type (or the offline reference while there is no number), a badge for Pending Sync or Issued Offline, and the total. Beneath it, a grid of labelled facts, each shown only when it applies: Customer (when one was recorded — with an arrow beside the name when the receipt is linked to a customer record and you hold Customers.View; it opens the customer, in a new tab on the web), Issued (when the server issued the receipt), Issued (Offline) (the time on the device, for a receipt issued offline), Location (when one was selected) and Offline Ref (for a receipt issued offline). A receipt still waiting to sync has no server time yet and explains that it will get its number when the connection is back.
"Accepted With Notes"
Shown only for receipts issued offline where the server accepted the paper as printed but noticed differences, such as a price that has since changed or a customer that no longer exists. Each note is listed. See Working offline and sync issues for every possible note.
Items, Custom Fields, Signatures
Each line shows its description, "quantity × unit price" with the unit label if any, and the line total. Custom Fields show label and value. Signatures are drawn as captured, labelled "Issuer · Name" or "Customer · Name" with the time signed.
Print and Print History
The Print card holds the format tabs, the preview and the Print Receipt button; the Print History card lists every copy with who printed it, when, in which format, and whether it was the original or a duplicate. Both are covered in Printing and reprinting.
Deleting a receipt
With Receipts.Delete (or Receipts.Delete.Own for your own), a Delete action sits in the top bar of a synced receipt. It asks "Delete receipt number?" and explains what happens: the receipt leaves the Receipts list and every report, its number stays used so the register shows a gap rather than a renumbering, printed copies are not recalled, and the deletion is written to the audit log with who did it, the number, customer and total. It cannot be undone; a receipt deleted by mistake is replaced by issuing a new one. The action is disabled while offline and absent on a receipt still waiting to sync: delete it once it has synced. Nothing else changes: the customer and products it named keep their own records.
If a receipt cannot be opened
"Receipt Unavailable — It may have been removed, or your connection dropped." You see this when offline for a receipt not stored on this device, when the receipt is outside your scope (Receipts.View.Own), or when it has been deleted.
