How inventory connects
Inventory attaches to products, is organised by locations, is deliberately separate from receipts, and feeds three reports.
Products
| Products and Inventory licensed | Inventory without Products |
|---|---|
| Every product page's Locations card has, per place, a tracking switch, the quantity, Adjust and Record, alongside that location's product overrides. | Nothing can be tracked. Products are the only kind of record Inventory can attach to in this release, and the switch lives on the product page. |
| The Inventory list shows each record with the product's name, finds it by the product's name or SKU in its search box, and links back with Open product. | Records created while Products was licensed stay listed and adjustable, but their product pages are no longer reachable. |
- Deleting a product does not remove its stock records. They stay in the list under the product's name and can still be adjusted or switched off; only Open product no longer leads anywhere.
- Deactivating a product has no effect on its stock records.
- Inventory has no prices or values; the product's price is unrelated to its stock.
Locations
- A stock record belongs to a product at a place: Organisation-wide or a specific location. One record per place, each with its own quantity and trail.
- Only active locations can have tracking switched on. A location that is later deactivated keeps its records visible (badged Inactive on the product page) until you switch them off. Deleting a location removes the records held there.
- The default location is not used by Inventory; the organisation-wide row is simply listed first.
- A person's location assignments do not restrict which stock they can see or adjust; only permissions do.
See Locations.
Receipts
Reporting
- Stock on Hand: every tracked record with product, SKU, location, quantity and last movement. A snapshot of now.
- Stock Adjustments: every adjustment in a period with before, change, after, note and who made it.
- Out of Stock: the records at zero.
All three need Reports.View and the plain Inventory.View.
Dashboard
The Inventory card shows the three most recently adjusted records with product, place and quantity. See The dashboard.
Permissions and "mine"
For inventory, "mine" means the records this person switched tracking on for, not the ones they last adjusted. A person with Inventory.Adjust.Own can adjust only records they enabled. Bear that in mind when building roles: it is usually simpler to grant the plain Inventory.Adjust and Inventory.View to anyone who counts stock. See Roles.
Audit
Every adjustment is a permanent entry in the record's own trail, and enabling tracking, disabling it and adjusting are also written to the organisation's audit log.
