Inventory overview
The Inventory module keeps a quantity for each product at each place you choose to track it, with an append-only trail of every change.
Records and places
A stock record is one product at one place. A place is either organisation-wide (a single figure for the whole business, the right choice when you have no sites) or one of your active locations. A product can be tracked at any combination of places at once, each with its own quantity and its own trail, and the product page shows the total across them.
- Tracking is switched on per product per place from the product's page.
- Quantities are whole numbers and can never go below zero.
- Every change is an adjustment: Increase, Decrease or Set, with an optional note, recorded with who made it and when. Adjustments are never edited or deleted.
- Switching tracking off hides the record but keeps its history; switching it back on restores it, history intact.
The screens
| Screen | What it is for |
|---|---|
| Product page → Locations card | Switch tracking on or off per place, see quantities, adjust in place — beside the product's location overrides. |
| Inventory (list) | Every tracked record, most recently adjusted first, 25 to a page, with a keyword search over the product's name and SKU and the location. |
| Stock record | One record: the quantity, the Adjust Quantity form and the full audit trail. |
All three are described in Tracking and adjusting stock.
Permissions in this module
| Permission | Allows |
|---|---|
Inventory.View | Open the Inventory list, any record and its trail, and see the Inventory card on product pages. |
Inventory.View.Own | The same, but only for records this person switched tracking on for. |
Inventory.Adjust / Inventory.Adjust.Own | Record adjustments, on any record or only on the records this person switched on. |
Inventory.Manage | Switch tracking on or off for a product at a place. |
Running the three inventory reports needs Reports.View plus the plain Inventory.View.
