Managing customers
Finding, adding, editing and deleting customers, and what each field on the form means.
The list
Open Customers in the navigation. The list is alphabetical by name, 25 to a page. Type in Search by name, email, phone, TIN or address to filter. The search is by keyword: every word you type must appear somewhere on the customer, and a word matches any part of a field, in any case. The fields searched are the name, email, phone, TIN, every address line, the notes and, for an entity, the contact person's name, email and phone. So persaud finds every Persaud and persaud water only those on Water Street. Up to five words count.
| Column | What it shows |
|---|---|
| Name | The name, with an Entity badge for organisations. |
| Email, Phone, TIN | As entered, or a dash. |
On a phone each customer is a card showing name, email, phone and address. Tap a row or card to open it. Pull down to refresh.
Lists show 25 rows a page. Under the list, "Page 1 of 4 · 92 customers" with Previous and Next turns the pages; a list that fits on one page shows only the count. Typing in the search box starts again from the first page.
For the whole list in one document, run the Customer Directory report.
Adding a customer
Press New Customer. The form has up to five cards.
"Type"
Individual ("A person", the default) or Entity ("A business or organisation"). Switching to Individual clears any contact details entered for an entity.
"Details"
- Name
- Required, up to 160 characters. For an entity this is the organisation's name. This is what prints on receipts.
- Optional. Must be a valid address; stored in lower case.
- Phone
- Optional, up to 40 characters, any format.
- TIN
- Optional, up to 40 characters. The tax identification number; the Customer Directory report labels this column "Tax ID".
"Contact" (entities only)
"The person to speak to here. For reference only — this never creates an account." First name and last name (up to 80 characters each), email (up to 160) and phone (up to 40).
"Address"
"One line per row." Type the address as you would write it on an envelope, one line per row; blank rows are dropped.
"Notes"
"Internal — never printed." Up to 1000 characters.
Press Create Customer. The only check made before sending is that the name is not empty ("A name is required."); the length and email-format rules are applied by the server, which answers "Could not save the customer. Check your connection and try again." if a value is rejected. On success you land on the new customer's page.
Editing a customer
Open the customer. If you may edit, the same form appears pre-filled with Save Changes in the action bar; saving returns you to the list. If you may only view, a single read-only card shows the name, email, phone, TIN, address and notes. Either way the page ends with the Related Records card.
Related Records
The last card on every customer page lists the records that link to this customer, one section per kind. Today that is Receipts: the receipts issued to this customer, newest first, with a count badge and the ten most recent shown (the Receipts Register report lists them all). Each row shows the number, when it was issued, how many lines and the total; tap it to open the receipt — in a new tab on the web, so your edits here stay put. The section follows the link: a receipt where the name was typed without attaching the record is not listed, even if the name matches.
Deleting a customer
Delete asks "Delete this customer?" and reminds you: "Receipts already issued to them keep their name. This cannot be undone." The customer disappears from the list, from the receipt search and from the Customer Directory, but every receipt that named them still shows and prints the same name, and Sales by Customer still groups those receipts under it.
What the customer page does not show
There is no total spent, average receipt or last purchase on the customer page in this release; Related Records lists the receipts, not their sum. Those figures are in the Sales by Customer report.
